About the role
The Lead Document Control is responsible for overseeing the policies, standards, organization, storage, and retrieval of all company documents and information. This role ensures that all documents and critical company information is managed in compliance with regulatory requirements and company policies. The lead will develop and implement strategies to improve document control processes and information management systems, ensuring the efficient and secure handling of all company data.
The key accountabilities of the position include:
Document Control Management:
- Develop and maintain document control policies, standards, systems and procedures.
- Ensure all documents are accurately filed, indexed, and easily retrievable.
- Oversee the lifecycle of documents, including creation, review, approval, distribution, and archiving.
- Implement and enforce document control policies and procedures.
Information Management:
- Develop and implement information management strategies to ensure the efficient handling of company data.
- Oversee the management of electronic and physical records.
- Ensure compliance with data protection regulations and company policies.
- Implement and maintain information management systems and software.
Strategic Planning:
- Develop long-term strategies for document control and information management.
- Identify opportunities for process improvements and implement best practices.
- Collaborate with other departments to ensure alignment of document control and information management practices.
Compliance and Risk Management:
- Ensure all document control and information management practices comply with relevant regulations and standards.
- Conduct regular audits to ensure compliance and identify areas for improvement.
- Manage risks associated with document control and information management.
Team Leadership:
- Provide training and development opportunities for team members
- Foster a culture of continuous improvement and excellence within the team.
Stakeholder Engagement:
- Collaborate with internal and external stakeholders to ensure effective document control and information management.
- Provide support and guidance to other departments on document control and information management practices.
- Act as the primary point of contact for document control and information management issues.
The incumbent will require the following qualifications, skills and competencies:
- Bachelor’s degree in Information Management, Business Administration, or a related field.
- Minimum of 5 years of experience in document control and information management.
- Strong knowledge of document control and information management systems and software.
- Excellent understanding of regulatory requirements and standards related to document control and information management.
- Proven experience in developing and implementing document control and information management strategies, policies and standards.
- Strong leadership and team management skills.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving abilities.
- Attention to detail and a high level of accuracy
Preferred Qualifications:
- Master’s degree in Information Management, Business Administration, or a related field.
- Professional certification in document control or information management.
- Experience in a strategic management role.
- Knowledge of industry-specific regulations and standards
