This newly created role will be essential as we move to our new office space, spanning 7 levels in the Brisbane CBD. Reporting to the Facilities Manager, the Workplace Coordinator, you will be the first point of contact for all visitors, staff, and stakeholders, ensuring a welcoming and seamless front-of-house experience. You will be responsible for reception services, meeting room coordination, facilities support, and administrative tasks.
Key accountabilities will include:
Customer Service & Front Desk Operations
- Manage the concierge inbox and respond to queries efficiently
- Distribute incoming mail and manage outgoing mail and courier services
- Answer and direct phone calls in a professional and timely manner.
Meeting Room & Event Support
- Set up and reset meeting rooms
- Plan and coordinate catering and refreshments for meetings and events
- Collaborate with Executive Assistants to support business-wide events and meetings.
Facilities & Maintenance
- Oversee the onboarding and offboarding process, including access cards and locker assignments
- Identify and report maintenance issues and assist in coordinating general maintenance requests
- Assist in implementing and maintaining preventative maintenance schedules and asset management.
About You
This is a customer interfacing role that requires you think on your feet, problem solve, and assist with the overall coordination of the reception, its facilities and maintenance. A true unique and customer centric role where no two days are the same.
To be successful in this role, you will have the following:
- Previous experience in a front-of-house, concierge, or client-facing role in a similar position
- Demonstrated ability to provide high-end customer service with discretion and professionalism
- Experience liaising with a range of stakeholders including Executives
- Be a collaborative team player who adopts a hands-on approach to problem solving and have the ability to prioritise and juggle multiple tasks
- Strong interpersonal and communication skills.
